THCAS Office of Research and Discovery Pre-Award

The Pre-Award team assists the PI and senior project personnel with funding opportunity identification, proposal planning, preparation of standard documents, budget and grant application development in eTRACs, in compliance to ECU’s Routing Timeline (commonly referred to as the 10-5-2 timeline). The Hub utilizes a modified 14-7-3 timeline to ensure all materials are reviewed and completed before advancing to final review and Sponsor submission by the Office of Research Administration. The tools and resources listed below assist in these processes.

Budget Development

Budget development requires careful preparation and the Pre-Award team encourages faculty to complete their “Intent to Submit Proposal” request, consult with their department Chair or Center/Institute Director, and contact their Pre-Award Grants Manager early for assistance in budget development. The budget in eTRACs interfaces with the BANNER personnel system, and it provides the opportunity to build a budget and export an MS Excel version during the cost planning and negotiation phases of careful budget development. Each faculty member and other named ECU personnel, whether key or non-key personnel, is identified as personnel at ECU through BANNER, and eTRACs serves as the budget of record. Standard cost items to plan for include:
  • Personnel Costs
  • Sub-awards, Vendors and Consultants
  • Travel
  • Materials and Supplies
  • Participant Support Costs
  • Equipment
  • Tuition Costs
  • Human Subject Incentives
  • Publications
  • Animal Costs
  • Other Costs
  • Indirect Costs (F&A)
